How to Label and Organize a Tumbled Stone Reference Collection

Labels turn a decorative assortment into a usable reference collection. The system must survive moving, cleaning and replacing a specimen. Give each sample a number, connect it to a clear material record and make returning it to the correct compartment easy.

Use two identifiers

Assign a stable material or sample code and a physical cell number. The code follows the specimen if the case changes; the cell number tells you where to return it today. Avoid using colour alone as an identifier. Two blue samples or two quartz varieties can look similar under poor light. Put readable numbers on the divider or removable insert rather than directly on a polished stone.

Write a useful card

Include the supplied material name, an explanation of any trade name, visible appearance, treatment disclosure and source reference. Keep generic mineral hardness separate from measured size and weight of the actual sample. Do not call supplier-declared identity laboratory-confirmed. Add a date or version to the card so that a later correction can be distinguished from an older printed copy.

Design the inventory for work

List each compartment, code, material and quantity in the same order as the case. Provide checkboxes for arrival inspection and repacking. For paired demonstrations, distinguish the two samples rather than merging them into an anonymous count. A simple index can point to the longer care sheet and a photograph. Leave room for a replacement note without erasing the original record.

Audit after every move

Return samples one at a time and compare the finished case with the inventory. Keep loose labels in a wallet, and replace a damaged insert before its number becomes unreadable. When identification changes, update the card, index and any product description together. An organised collection can acknowledge uncertainty openly; its usefulness depends on records that remain consistent with the actual objects.
